TERMS & CONDITIONS FOR THE GAPP AWARDS

GENERAL

  1. This competition is organised and administered by Sentient Publishing.
  2. The competition will be known as “The GAPP AWARDS” from herein.
  3. By entering The GAPP AWARDS, all entrants agree in full to the terms and conditions of entering the competition.
  4. Sentient Publishing reserves the right, in its sole discretion, to cancel or suspend The GAPP AWARDS should causes beyond its control corrupt the administration, security or proper participation of The GAPP AWARDS.
  5. Sentient Publishing assumes no responsibility for postal, technical or natural conditions that prevent the reception and judging of GAPP AWARDS submissions.
  6. Sentient Publishing reserves the right to amend these terms and conditions at any time and without notice.

ELIGIBILITY

  1. Printers (or service providers as per the categories) throughout Southern Africa are eligible to enter any work produced within the region, even if the work is for distribution outside of Southern Africa. Suppliers, agencies and clients of the printer may submit the printer’s work providing that the printer approves and signs the entry form.
  2. All entries must be produced in Southern Africa.
  3. Entries must be produced within the stipulated dates of the competition period.
  4. The work submitted must be part of a commercial production run.

ENTRY SUBMISSION

  1. Entry to The GAPP AWARDS will take the form of an entry uploaded to The GAPP AWARDS portal on The GAPP website, located at www.thegapp.co.za.
  2. Submit a minimum of two copies of each entry or as stipulated in the entry requirements of that respective category in The GAPP Awards Categories brochure.
  3. In the case of larger entries, you do not need to provide the entire entry but a reasonably sized portion of the entry must be included as stipulated in the entry requirements of that respective category in The GAPP Awards Categories brochure, along with photographs and/or a motivation/explanation where necessary.
  4. All information must be completed in full.
  5. Entry forms with missing data or signatures will automatically lead to disqualification of the entry and a loss of the entry fee without notification.
  6. The details on the entry form are accepted as correct and accurate, with all awards and publicised information made according to the data supplied.
  7. Winners and their entries will be photographed - by entering, winners give Sentient Publishing permission to use photographs and event footage for publication and promotional purposes.
  8. It is the full responsibility of the printer/agency to obtain agreement from their client to enter the work.
  9. Entries will not be returned and unless collected when stipulated after the Gala Event, will become the sole property of Sentient Publishing for whichever purpose as it deems fit. Sentient Publishing does not accept responsibility for any loss or damage of entries submitted into the competition, and doing so is at the risk of the entrant.
  10. The GAPP and Sentient Publishing reserve the right to use entries to promote the competition and print as a communication medium.
  11. Irrespective of the person submitting the entry, awards are made out to the printer (Company) that printed the winning entry, with the exception of the Design for Print category where the award will be made out to the party responsible for the design of the artwork. Additional certificates for customers, agencies and the submitter of entries can be requested at an additional nominal fee.
  12. By entering The GAPP AWARDS, the entrant understands that the project submission (descriptions, images and footage) will be made publicly available and can be shared by members of the general public across any and all media channels including the Internet.
  13. All entrants’ contact details should be restricted to the registration process and the contact details section of the entry, which will not be made publicly available. Under no circumstances may it be included in the entry submission itself, with the exception of the Self Promotion category.
  14. Sentient Publishing cannot receive entries in confidence. All information must be supplied on the entry form and will be made publicly available. Motivations for not publicising certain technical aspects of the job may be submitted to Sentient Publishing for consideration.
  15. Participants are allowed to submit up to 10 entries per category, per division within that company.
  16. All entries should be available to the organiser for exhibition purposes.
  17. Complete all sections of the entry form and submit them online. Print a copy of the entry form for inclusion with your entry submission. Submit at least two copies of each entry or as per the stipulated entry requirements of that respective category of The GAPP Awards Categories brochure. Do not use staples and ensure that your entry is well protected and in immaculate condition. Deliver, courier or post your entry to the address details provided. Entries will be judged and photographed so please try to ensure that they are in as close to pristine condition as possible.
  18. Entries will not be considered should it not be entered via the portal on www.thegapp.co.za, with the entry form completed in full and a printed copy supplied with the entry.
  19. Entry fees are not refundable under any circumstances.
  20. It is the entrant’s responsibility to ensure that an entry form as well as submission is received by the Awards organiser on time. Entries received after the deadline entry will be automatically disqualified.

JUDGING PROCESS

  1. The submission portal will open for entries when announced on The GAPP’s various media platforms. Sentient Publishing is not responsible for and will not accept projects received once entries have closed.
  2. The judges reserve the right to reallocate an entry to a different category at their discretion and not to nominate a winner for a category.
  3. The judges will refrain from adjudicating their company’s and/or customers’ entries, as well as entries where they have prior knowledge, by recusing themselves from that particular category.
  4. Sentient Publishing and/or the judges reserve the right to request the job ticket to verify any of the details provided. Entries may be disqualified for incorrect information supplied.
  5. With the exception of the Self Promotion category, only work produced for clients may be submitted for judging. Failure to do so will lead to the entry being disqualified.
  6. No work printed for The GAPP brand will be accepted into the Awards as it will be perceived to be a conflict of interest
  7. The judging has been carefully structured to ensure the highest possible standards, coupled with a balanced perspective. Each entry remains anonymous throughout. Judging will be conducted on a pre-determined matrix and winners will be confirmed according to points allocated by the judges. Like processes will be judged against each other.
  8. All entrants accept the judges’ decisions as final and binding, and no further correspondence or discussion will be entered into.

INTELLECTUAL PROPERTY

  1. The GAPP AWARDS and Sentient Publishing are not responsible for obtaining or verifying any intellectual property rights relating to the project that has been entered. It is the responsibility of the entrant to secure protection for a project that is being entered before submission. Proof of any patents, design applications or registrations, trademark applications or registrations, other rights, permissions or applications should be referred to in the entry.
  2. The entrant must confirm that he/she is the legal owner of all intellectual property (and moral rights) in relation to the entry and, if not, that he/she has obtained all necessary permissions and licenses from relevant third parties. The project must be original and not in breach of a third party’s intellectual property rights. If an entrant is unable to confirm that he/she is the legal owner of all intellectual property (and moral rights) in relation to the entry or that he/she has obtained all necessary permissions and licenses from relevant third parties to Sentient Publishing’s satisfaction, Sentient Publishing reserves the right to disqualify the entry.

LIABILITY

  1. The entrants agree to indemnify all parties involved in the award including Sentient Publishing, the sponsors, the promoters, the judging panel, its agents and its employees against any third party claims that could arise from submission of the product to the competition.
  2. As a condition of entering this contest, the entrant agrees that:
    • Under no circumstances will the entrant be permitted to obtain any compensation for any losses or damages, and hereby waive all rights to claim punitive, incidental and consequential damages and any other damages, and waive any and all rights to have damages multiplied or otherwise increased.
  3. The GAPP and Sentient Publishing are registered trademarks owned by Sentient Publishing. Unauthorised use of these trademarks and copyright are prohibited.
  4. The GAPP AWARDS trophy is a registered design owned by Sentient Publishing and as such unauthorised use, copy or manufacturing of the trophy and/or certificate is prohibited.
  5. Winners have authorised use of The GAPP AWARDS logo, with an official winners emblem supplied to them after the Event for marketing purposes and promotional activities.

PERSONAL DATA

  1. By entering The GAPP AWARDS, entrants expressly authorise Sentient Publishing to use personal data collected during the registration process for the purpose of administering The GAPP AWARDS.
  2. Sentient Publishing will use the personal data submitted by entrants to administer The GAPP AWARDS, with local administrators working on behalf of Sentient Publishing having access to personal details for the purposes of informing the entrant of any progression throughout The GAPP AWARDS or of publicity opportunities.

PUBLICITY AND PROMOTION

  1. The winners of The GAPP AWARDS agree to take part in any publicity and promotional activities surrounding The GAPP AWARDS and future GAPP AWARDS at the sole discretion of Sentient Publishing.
  2. Winners of the prestigious GAPP AWARDS may be required to partake in some activities recommended by the organiser, in an effort to promote the greater good of the industry and the Awards. By entering the award, the entrant accepts that its details, images and footage can be used for publicity purposes. The entrant may be invited to personally partake in publicity opportunities such as interviews put forward to the entrant by Sentient Publishing. Each opportunity will be taken on merit.

ATTENDANCE OF GALA EVENT AND AWARDS CEREMONY

  1. Finalists of the Awards are required to attend the Gala Event and Awards Ceremony, with Gold winners being called up on stage to receive their trophy. As such, failure to reserve seats three weeks prior to the event will lead to the Gold Award being forfeited in that category.
  2. There is no additional cost for trophies and certificates given to winners at the Awards Ceremony; non-attendees will however be charged for their trophies and certificates should they wish to receive them after the event.
  3. Attendees of the Gala Event and Awards Ceremony assume all risks and accept sole responsibility for any injury (including, but not limited to, personal injury, disability and death), illness, damage, loss, claim, liability or expense, of any kind, that may be experienced or incurred in connection with attending the event. Attendees hereby release, covenants not to sue, discharges and holds harmless Sentient Publishing, its employees, agents and representatives, of and from any such claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating thereto.
  4. The Gala Event and Awards Ceremony will be photographed and recorded. Attendees give Sentient Publishing and The GAPP permission to utilise all photos and footage taken of the event for publication and promotional purposes as it sees fit.
  5. Sentient Publishing and The GAPP reserve the right of admission.
